General Information

On the morning of the expo, exhibitors should plan to arrive promptly at 7:00 a.m., in order to clear security and check-in at the exhibitor registration desk, located in the foyer just outside of the Cannon Caucus Room. At the registration desk, exhibitors will receive information packets with their exhibitor name badges, and be directed to their booth space.  If you have shipped through the Exposition Services Company, please check to make sure that your entire shipment has been delivered. If you are missing part of your shipment, please report it to Expo Staff immediately - failure to do so may greatly impact the possibility of locating the missing shipment in time for delivery to the expo.

Exhibits will be open to the public from 9:00 a.m. – 4:00 p.m.  A complimentary continental breakfast will be available in the Exhibit Staff & Staging Area, followed by a complimentary buffet lunch starting at 12:00 noon. Breakfast and lunch are for registered exhibitors and event staff ONLY.  A name badge will be required for entry into the Exhibit Staff & Staging Area.

Beginning promptly at 12:30 p.m. there will be a Welcoming Ceremony* with remarks from VIP speakers. As a courtesy to our speakers, exhibitors are asked to keep conversation to a minimum at this time. Additional information regarding who will be speaking will be posted as it becomes available.

At 4:00 p.m., exhibitors may begin breaking down their exhibit.  All materials must be removed from the Cannon Caucus Room by 6:00 p.m.  Arrangements can be made for displays and leftover materials to be removed by the Exhibit Services Company, or by arranging a pick-up through FedEx (1-800-463-3339). USFCC will not be responsible for materials left in the Cannon Caucus Room after the event.

Exposition Service Company

We are happy to announce that we will be working with a new exposition services company this year; Freeman Exposition Services will serve as the official service contractor for USFCC's Congressional Fuel Cell Expo 2006. Detailed exhibitor information packets, outlining set-up, shipping and receiving, have gone out via e-mail to the contact person listed on your exhibitor application. If you have any questions regarding the information contained in these packets, please contact Freeman's Exhibit Services Department at (301) 918-7900.

Exhibit Space

  • Booth Dimensions: 10' wide x 6' deep x 10' high
  • Booth Colors: Red, White, and Blue
  • Standard Booths Include (1) 6' Skirted Table, (2) Chairs, (1) Wastebasket and (1) Booth ID Sign.  Please let Freeman's Exhibitor Services Department (301-918-7900) know if you will not need one of the items listed or if you will require additional items (e.g. furniture, easels, display stands) for your booth.  Additional items are available, at cost, from Freeman Exposition Services.
  • Carpeting: The Cannon Caucus Room is carpeted.
  • Electrical: Please contact Shawn Polk (240-223-5537) if you require an electrical hook-up but did not indicate so on your registration form.
  • Telephone/Internet: Telephone and Internet capabiliites are not available.

Shipping/Bringing Materials Into the Building

Please do not ship materials directly to the Cannon House Office Building.  The Cannon House Office Building is not equipped to accept freight and will refuse your shipment.  Please send your freight to Freeman Exposition Services to ssure proper handling, delivery, and security clearance.

Provided your exhibit materials will fit through the security machine at the entrance (17” x 25” – similar to airport security machines), you may hand-carry materials into the Cannon House Office Building on the morning of the expo.  To avoid security problems on-site, please contact Shawn Polk at 240-223-5537 if you plan to hand-carry hazardous materials (e.g. methanol) or other questionable items (e.g. fuel cell models, large metal tanks).  Please allow ample time to clear security.

If your booth will not fit through the security machine, you may still gain access on the morning of the Expo, starting at 5:00 a.m. through the Rayburn House Office Building loading dock, by first going to the off site delivery center (at Delaware and C Street, SE just behind the Rayburn) to have your vehicle and freight swept.  Again, to avoid security problems on-site, please contact Shawn Polk at 240-223-5537 if you plan to bring hazardous materials or other questionable items (e.g. fuel cell models, large metal tanks).  Please allow ample time to clear security.  Exhibitors who need the use of the dock must be aware of the local Union regulations which require the use of Teamsters to handle freight in excess of what an exhibitor can hand-carry in one trip without the use of a dolly or a cart .  Overtime rates will be in effect during set-up/breakdown.

Security

As home to the offices of U.S. Congressional Representatives from several districts, the Cannon House Office Building is subject to heightened security after 9-11. Exhibitors should bring a valid photo I.D. and plan to allow ample time to clear security. Exhibitors who plan to bring hazardous materials or other questionable items (e.g. fuel cell models, large metal tanks) should be aware that some items might be rejected on-site, regardless of prior clearance. We make every possible effort to insure that all exhibits clear security on the morning of the Expo, but even when following standard protocol, there are no guarantees. Please have a contingency plan should one of your display items be rejected.

The best way to insure that all items clear security is to follow the following standard protocol:

  • Notify Shawn Polk, Expo Coordinator, of all hazardous materials and/or other questionable items (e.g. fuel cell models, large metal tanks) that you intend to display.  Provide detailed descriptions, photographs, and MSDS sheets if possible.
  • If you are shipping through Freeman, tape a brief, one-page description and accompanying materials (i.e. photographs, MSDS sheets) to each piece of orresponding shipment.
  • Make sure that there is one member of your exhibit staff who has been furnished with explanatory materials that can answer any questions security might have on-site.

Please contact Shawn Polk at (240) 223-5537 with any questions or concerns.
